When you create a Placement, you need to select a Job Order which defines the Employer, the Client company, and the Organization/Department the staff belongs to. Sometimes you may create the Placement with the wrong Job Order (i.e. wrong organization) and need to change it.
By default, the Job Order CANNOT be changed once the Placement is created, as the Job Order defines the Organization you can select. However, there are different ways to handle this depending on your situation.
Which approach should I use?
Scenario
Recommended Approach
Placement just created, no payroll / leave / timesheet records yet
Delete and recreate the Placement, or use Change Job Order (Admin)
Placement already has payroll / leave / timesheet records, and you want to keep service years & leave balance
Internal Transfer
Admin quick fix (movements will be reset to top-level company)
Change Job Order (Admin)
1. Delete and recreate the Placement (recommended if no records yet)
If the Placement was just created and there are no payroll, leave, or timesheet records, the cleanest way is to delete the Placement and create a new one with the correct Job Order.
Go to Staff -> Placement -> Add New to create a new Placement with the correct Job Order
2. Internal Transfer (recommended if records already exist)
If the Placement already has payroll, leave, or timesheet records, use Internal Transfer. It creates a new Placement under the correct Job Order and terminates the old one, while carrying over the service years, leave balance, ADW, pay items, cost allocations, roster, and supervisors.
Go to Staff -> Placement -> open the Placement profile -> More -> Internal Transfer
Choose the new Job Order, input the new Placement Number, Organization/Department, Position, and Start Date
The Termination Reason would be set to "Internal Transfer" automatically
Reminder
Please add a suffix to the new Placement Number (e.g. 0001 to 0001-2 or 0001A), or change the old Placement Number first, as the Placement Number cannot be the same as the old one.
Please update the "Continuous contract since" to the new start date in the new Placement profile for the leave entitled days calculation.
The source Placement cannot be terminated and must have no pending leave applications.
This is an ADMIN only feature that reassigns the Job Order in place without creating a new Placement. It resets all movements' Organization to the new Job Order's top-level Client company.
Go to Staff -> Placement -> open the Placement profile -> More -> Change Job Order
Select the new Job Order -> Save
After using Change Job Order
All existing movements' Organization/Department will be reset to the new Job Order's top-level Client company. You need to update the Organization/Department manually via [Movement](https://carbonik.com/en-hk/help/backstage-admin-portal/people/how-to/update-staff-position-department) if needed.
Payroll and Tax records are NOT migrated. Please use Internal Transfer instead if the Placement has payroll/tax records.
The new Job Order cannot be the same as the existing Job Order.
