Why need to update staff salary?

Staff will get salary increment or change after salary review after finishing probation or appraisal review.

How to update staff salary?

  1. Manually - One by One
  2. Importing - In Batch
  3. Moving the staff to a new point, if they are paid on a Pay Scale

 1. Manually - One by One

  • Go to Staff -> Placement-> Salary section -> Find the of Pay Type -> Add pay item
  • Input the new salary amount with the new effective date.

2. Importing - In Batch

  •  Go to Staff -> Placement -> Export the excel as the Template -> find the sheet "Salary"
  • Delete other unused sheets and the existing records in the sheet "Salary", i.e just import the new records
  • Take the existing records as an example and input the data
    • column B "AssociateName" can be deleted as the system just recognized the placement number
  • Import the file to the system

3. Staff paid on a Pay Scale

If the Pay Item is ticked On Pay Scale, you do not type a new amount. The salary change is a change of point.

  • Go to Staff -> Placement -> Salary section -> Find the of the Pay Type -> Add pay item
  • Set the new Effective Date
  • Keep On Pay Scale ticked and choose the new Point
  • The Pay Rate fills in from the scale and is read-only, then Save

The earlier Pay Item stays as history, and a Payroll Batch spanning the change splits the period so each part is paid on its own point.

Two cases need care:

  • A promotion to a different rank also needs a Movement carrying the new Rank, effective the same date, added BEFORE the Pay Item. The scale is found through the Rank on the Movement in force at the Pay Item's effective date, so the Movement has to be in place first.
  • A revision of the scale itself is not a salary change. When the published scale is re-rated, do not touch any Placement. Add the new rates on the scale against the new effective date and every staff member on it moves automatically.

What's Next?

  • Check the Placement -> Salary section shows the new point and the rate read from the scale
  • Generate or recalculate the Payroll Batch to confirm the new amount comes through
