Some errors when email is sent and fails with an error message?

It is probably because your SMTP setting input is incorrect or has not yet been updated by your IT Team.

Example error message:

It is possible caused by

  • Password incorrect
  • Incorrect configuration of related email hosting
  • White list not yet updated

As Gmail needs to provide an APP Password (not the original email password), the IT Team may reference:

Steps to Generate App Passwords

1. Enable Two-Step Verification:

  • Go to your Google Account settings by visiting myaccount.google.com.
  • Click on the Security tab in the left-hand menu.
  • Under the Signing in to Google section, find Two-Step Verification.
    • If it is not already enabled, click on it and follow the prompts to set it up. This may involve verifying your phone number and setting up a secondary verification method (like a text message or authentication app).

2. Access App Passwords:

  • After enabling Two-Step Verification, return to the Security section of your Google Account.
  • Under the Signing in to Google section, you should now see App passwords. Click on this option.
  • You may be asked to sign in again for security purposes.

3. Generate an App Password:

  • In the App Passwords section, you will see a dropdown menu labeled Select app. Choose the app you want to generate the password (e.g., Mail, Calendar, etc.) or select Other (Custom name) to create a custom label.
  • Click the Generate button

How to check the SMTP setting?

To ensure your SMTP setting is correct, you can try our SMTP Tester which is same as basckstage's smtp setting page:

  • You can update with the correct config in "SmtpTester.exe" file and run SmtpTester.
  • Then you can find the same error on the tester with your provided smtp config when you click Send Email.
  • Once you have the correct SMTP setting, you can update in the backstage admin portal - smtp setting page and click “Send Test Email” for testing.
