When the approval chain of a staff changes, you may need to take a supervisor out of the Placement-level Supervisor Group. If there are quite a lot of staff to update, you can do it in batch by Placement Excel import instead of deleting one by one in each Placement profile.
This page is for Placement-level Supervisor Group only. For how to set up Supervisor Group, please take a look at Setup the Supervisor Group.
Import rebuilds the supervisors of that group from the Excel file.
For each staff, Backstage finds the group by:
When the first row of an existing group is imported:
So the rows you keep in Excel become the new full list of supervisors for that group.
Leave the supervisors you want to keep. Remove the supervisor you want to take out.
| Column | Description |
|---|---|
| PlacementNumber | Placement Number of the staff who owns this Supervisor Group |
| SupervisorGroupCode | Code of the Supervisor Group, e.g. DEFAULT, AL, WFH |
| EffectiveDate | Effective Date of the Supervisor Group. Must match the existing group |
| ApprovalSequence | Approval order, e.g. 1 for the first approver |
| SupervisorNumber | Placement Number of the supervisor / approver |
| Delete Optional | Put Y or TRUE if this row should not be added back after import |
Staff P001 has Supervisor Group DEFAULT (Effective Date 1 Jan 2025) with 3 supervisors:
| ApprovalSequence | SupervisorNumber |
|---|---|
| 1 | MGR01 |
| 2 | MGR02 |
| 3 | MGR03 |
To remove MGR02, keep MGR01 and MGR03 in the file:
| PlacementNumber | SupervisorGroupCode | EffectiveDate | ApprovalSequence | SupervisorNumber |
|---|---|---|---|---|
| P001 | DEFAULT | 2025-01-01 | 1 | MGR01 |
| P001 | DEFAULT | 2025-01-01 | 3 | MGR03 |
You can also keep all rows and put Y in the Delete column for MGR02:
| PlacementNumber | SupervisorGroupCode | EffectiveDate | ApprovalSequence | SupervisorNumber | Delete |
|---|---|---|---|---|---|
| P001 | DEFAULT | 2025-01-01 | 1 | MGR01 | |
| P001 | DEFAULT | 2025-01-01 | 2 | MGR02 | Y |
| P001 | DEFAULT | 2025-01-01 | 3 | MGR03 |
After import, only MGR01 and MGR03 remain in the group.
| What you do in Excel | Result |
|---|---|
| Remove the supervisor row, keep the other supervisors of the same group | That supervisor is removed. This is the correct way. |
| Remove all rows of that Supervisor Group | The group is not updated. All old supervisors stay. |
| Import only the supervisor to remove, with Delete = Y | All supervisors in that group are removed. |
| Change the Effective Date | A new Supervisor Group is created. The original group is not changed. |
This does not apply to Organization import. Removing a row from the Organization SupervisorGroup sheet will not take the supervisor out of the group.
If you only need to remove one supervisor:
